College Application Checklist: Everything You Need to Submit

Summary: Use this master checklist to stay on track across every component of your college application — from testing to financial aid. Work through each section with your family and counselor before deadlines hit.

What changes across UC, CSU, and Common App?

Policy check for 2026-27 applications (fall 2027 entry), reviewed October 3, 2026: UC Apply Now, CSU testing requirements, and Common App first-year application guide. Campus and program instructions can add exceptions, so record the exact source used for each college.

Mixed-system example: one student, three application systems

Hypothetical student: Elena is applying to two UC campuses, San Jose State, and two private colleges that use Common App. Her family uses the checklist for requirements, the execution sheet for ownership and proof, and the weekly planner for workload.

Keep four kinds of dates separate

• Official application deadline: the institution's stated application date.
• Materials deadline: when supporting documents must arrive, if separately stated.
• Program, scholarship, or financial-aid deadline: a separate date that may be earlier or later than the main application.
• Family target: your internal completion date. It is not the college deadline.

Move the checklist into the existing execution tools

1. Use this checklist to determine what applies to each college.
2. Copy the applicable task into the 11th-12th Grade Application Execution Sheet.
3. Assign the owner, family target, official source, completion proof, and next action.
4. Use the Senior Fall Weekly Workload Planner to decide when the student will actually do the work.
5. Use the Senior Essay Inventory for college-specific writing, not as a substitute for the application checklist.
6. Track aid requirements separately in the College Financial Aid Requirements Tracker.

Final completion check

For each college, confirm all three states separately:

• Submitted: the application platform says the application was submitted.
• Materials received: the college portal shows required materials as received or otherwise resolved.
• Follow-up complete: any campus, program, financial-aid, interview, portfolio, or supplemental request has been handled.

One green "submitted" status does not prove that every college-specific requirement is complete.

If a college portal still shows a required document as missing, use the Missing-Document Troubleshooting Worksheet to check its submission history, identify the responsible sender, and prepare a factual inquiry.

1) Standardized Testing

• SAT or ACT scores reported or submitted according to each college's instructions, when required or when the student elects to submit
• AP/IB scores (if required by school)
• Test-optional strategy documented for each school
• Score reporting deadlines confirmed for each college

2) Academic Records

• Required self-reported courses and grades completed in the application or the college's designated system, by that college's deadline
• Official high-school and college/dual-enrollment transcripts requested or sent when the college requires them; keep a transcript copy available for accurate self-reporting
• Mid-year report sent if required (check each school)

3) Essays & Writing Supplements

• Common App personal statement finalized only when that college requires it or the student is using it. The 650-word limit is a Common App limit. It does not apply to UC Personal Insight Questions or to Cal State Apply.
• School-specific supplements drafted and reviewed for the colleges that ask for them
• Common App activity descriptions finalized when that college uses the Common App activities section. The 150-character activity limit is a Common App field limit, not a rule for every application.
• Additional information section completed if that application asks for one

4) Letters of Recommendation

• Teacher and counselor recommendation requirements, including number and type, confirmed for each college
• Those recommendations requested as each college requires them
• Optional additional recommender asked if value-add is clear
• Required recommendation release or authorization completed for each application that asks for one

5) Application Components

• Application platform required or accepted by each college confirmed, such as Common App or Apply Coalition with Scoir
• Applicant portal activated promptly when the college provides access
• ED/EA/RD decision plan confirmed and documented
• Application fees paid (or fee waiver requested)
• Interviews scheduled or completed where available
• Portfolio, prescreen, or audition, if that program requires one. A university application date does not finish that step.

6) Financial Aid Documents

• FAFSA filed for the applicable aid year; confirm current federal, state, and college deadlines and file as early as appropriate
• CSS Profile submitted for schools that require it
• Tax return and W-2s gathered for income verification
• Merit scholarship applications filed separately if needed

7) Deadline Tracking

• Example only, not a rule: some Early Decision I dates fall around Nov. 1-15. Use the date that college publishes for 2026-27 / fall 2027.

• Financial aid priority deadlines confirmed per school
• Scholarship deadlines added to your calendar separately

Copy one blank record per college or program, then fill it in. The date you hope to finish is your family target. It can be earlier than the college's date. It does not replace that date. A priority date is not the same thing as the final cutoff, and a program or scholarship date can be earlier than the main application.

8) After Submission

• Confirmation emails saved for each application submitted
• Application portal logins saved (one per school)
• First quarter/semester grades sent if required
• Scholarship and housing deadlines tracked post-admission
