If a college portal lists an application document as missing, identify the exact item and its submission history before sending it again. A portal label alone does not establish whether the document was never sent, is processing, was sent through the wrong route, or could not be matched to your record.

Build a one-item record
Copy the portal's wording into your private notes, then record only what is necessary to investigate that item. Keep sensitive records in approved submission channels rather than pasting them into this worksheet.
Ask the person who controls the document
For a school report or transcript, contact the responsible school office. For a recommendation, confirm submission through the appropriate school or platform process without asking to inspect a confidential letter. For a score report, use the testing organization's records.
If a sender confirms that an item was transmitted recently through the accepted channel, compare that evidence with the college's stated processing period. If the period has passed or the deadline creates uncertainty, contact admissions with the specific item and evidence instead of blindly resending it.
Prepare one concise inquiry
Identify the application record, exact item, sender, date sent, and confirmation available. Ask whether the item is processing or whether a specific corrective action is required. Use the contact route supplied by the college and avoid opening duplicate tickets unless instructed.
Close the loop
A document can be visible in a sending platform without being recorded as received by the college. Follow the named next step, preserve the reply, and check the portal again after the applicable processing interval.
