STARS and Other Grade Forms: Submission and Linking Worksheet

Track a separate academic record through entry, submission, college linking, and receipt, using STARS as a current named example.

Use this worksheet for a first pass in 5โ€“15 minutes. Fields are temporary and are not saved when you leave or reload. Copy or print your work before leaving, and keep sensitive identifiers and full records outside this worksheet.

Entering grades in a separate academic-record system is not always the final step. Confirm that the record is submitted, connected to each required college application, and shown as received through the college's process.

STARS, the Self-reported Transcript and Academic Record System, explains in its submission and linking instructions that both steps are required. Other systems and college-specific forms have their own instructions, so do not assume the same buttons or sequence apply.

Start from each college's requirement

Read the official applicant checklist for your category and term. Record whether a separate academic record is required, which system it uses, when it is due, and how the college directs you to connect it.

Review the data before submission

Have the original academic records available. Check school names, dates, terms, course levels, grades, and planned work according to the system's directions. Do not average, translate, or upgrade grades simply to make different records appear uniform. Review imported entries against the source rather than treating a successful upload as proof that every course was interpreted correctly.

Track three separate states

A platform submission, a link to a college application, and a college's receipt are different facts. Record evidence for each one and follow the college's published processing guidance before escalating.

Status record

A completion message inside the record platform does not by itself prove the college has received what it needs. After the published processing period, check the college portal. If the status remains unclear, use the designated support route with the relevant confirmation details.

Handle changes through the right process

If you discover an error or need to report a schedule change, read the system and college instructions before editing. Determine whether an updated record must be resubmitted or communicated another way, then preserve the corrected version and confirmation.

Use the application checklist for the wider submission plan.

Entries stay in this browser tab only. They are not saved on this site. Copy them before you leave or reload.

If you want help organizing the decision and next steps, IvyReady can help you compare the planning choices. The institution, platform, or issuing office remains the authority on its requirements.
