A UC Campus Asked for More Information: Response Worksheet

Respond to a UC campus request for additional information by checking the request type, sender, deadline, format, and receipt.

Use this worksheet for a first pass in 5โ€“15 minutes. Fields are temporary and are not saved when you leave or reload. Copy or print your work before leaving; keep sensitive identifiers and full records outside this worksheet.

If a UC campus asks for additional information, respond to that specific request. Identify the campus, the material requested, the submission method, and the deadline before deciding what to send.

A request is an instruction to complete a part of the review. Do not interpret it as an admission promise, a rejection warning, or permission to send an unrestricted packet of extra material.

Verify and record the request

Access the campus portal through its official route and compare any email with the instructions there. If the message is unclear, use the campus's published contact information rather than sending private records to an unverified address.

Keep the original wording available. A family summary can accidentally change an optional request into a mandatory one or omit an important condition.

Distinguish requests that look similar

An invitation for recommendation letters is different from a request for academic clarification or a program supplement. Berkeley's recommendation guidance explains its invited-letter process and states that unsolicited supplemental information is not included unless requested. That Berkeley procedure should not be applied automatically to another UC campus.

Follow the instructions attached to your own request, including limits and who is authorized to submit. A teacher's confidential letter should travel through the specified recommender process, not through a student-written substitute.

Give another person usable notice

If a teacher or counselor must act, contact them promptly with the request, deadline, and relevant context. Ask whether they can complete it. Use the recommender resource to think about who can provide evidence when the request allows a choice.

For a hypothetical academic clarification, the student may need to explain a term schedule and ask the school to confirm it. Sending an unrelated award list would leave the original question unanswered.

Submit a focused response

Answer the question asked, check factual consistency with the application, and include supporting material only as directed. Avoid adding speculation about why the campus contacted you.

Save the submission confirmation and monitor the stated receipt process. If a deadline or technical problem arises, contact the campus promptly with the specific issue; do not assume an extension.

Keep this response in the broader application checklist. If the family needs help interpreting the request or organizing a clear factual response, contact IvyReady with the instructions, while the campus remains the authority on what it will accept.
